Board Meeting Minutes

Gary welcomed Coleman Younger who has taken the position of SDWFA Administrative Assistant.
Coleman will provide administrative support to the President. In addition, Lisa Suen has accepted the
position of Director of Sponsor Relations; Tom Park has accepted the position of Events Manager; Pat
Boemer is now the Media Liaison.

The new Bulletin Board in the Machine Room has been divided into sections to allow Members easier
access to the information they are looking for. Each section will have a designated person responsible to
maintain and ensure contents are up-to-date. The names of these individuals will be posted on the
section for which he/she is responsible. Coleman Younger and Michael Lewis will work together to
ensure information is current and accurate.

Design in Wood has prominent display of SDFWA and HGS. Gary would like to hear comments on the
display.

New tri-fold brochures are available at DIW and Lou has more that he will bring to the Shop.
To highlight and encourage members to visit SIG of the month during Eye Opener, Erika suggests putting
a “sandwich board” near the entrance.

Pete sends Financial Report each month to the Board. Gary emphasizes that the Board needs to review
these each month. Pete is also working on resolving a recent issue with Zelle.

• Building Fund – Erika and Steering team have recommendations to be shared
• Budget – Pete is including budgets with his monthly Financial Report Group
• Organizational Chart – Gary indicates that the clearly defined chart will be available by end of year
• Website rebuilt – Isaac and Mike will provide update
• Long Term Strategy for DIW – Jim Strawn unable to attend due to ongoing DIW at the Fair
• Photo Storage – Isaac will provide update
• Engage members with programs of visitors – Several visiting woodworkers have visited during Eye
Openers and special work sessions
• More variety of classes – current class numbered at 28 and adding
• New Toy Program – Jim heading the Toy SIG on 3rd Sunday morning of every month has been verysuccessful.

Diana presents to the Board a Volunteer Peer Recognition Program from the Membership Team. The
program will be managed by the Team’s Volunteer Recognition Coordinator Mark Fielden.

The program will be announced during the June Eye Opener. Nomination process will be published in the
Newsletter on July 23rd. Nominations may be sent to peer-recognition@sdfwa.org after July Eye Opener
announcement.

There will be one award each month announced during Eye Opener beginning in August. The award
recipient will get a $100 ProClass gift card and a personalized travel mug with SDFWA logo. The photo and
nomination summary will be posted in the Lobby and in the Newsletter.

The Board agrees to the purchase of raw material and for the Team to proceed with the pilot program.

Bronze members now have Green-color name tags they can keep and used when attending classes and
meetings. Three to four times a year, groups of bronze members are invited to attend meetings designed to
highlight membership benefits and answer any questions. We are all reminded to welcome and engage with
Bronze members at the Eye Openers. More Bronze members should be in the Volunteers role. Any ideas to
grow Bronze membership should be directed to Gary.

Isaac has been doing a lot of background work on the SDFWA Website for three main areas: Media Storage,
Members Only Section, and DIW Volunteer Website. Selections on hardware and software were based on
costs, accessibility and management.

Using personal sdfwa.org login makes managing groups easier. Benefits to membership includes accessible
photos, recordings of Eye Openers, SIGs and other SDFWA proprietary information. Tasks remaining are
member upload form and AI search for photo.

Members Only Section: Has just been completed. Members can use ProClass login with ID number from
Membership Card to login.

DIW Volunteer Website has also been completed.

Mike reports that SDFWA Website “About” on who does what has been updated; E-mail “group” has
worked great and next step is to migrate to this method. He suggests that recording from Eye-Opener
can be put on the same page.

The team has developed long-term goals for the new facility fund-raising activities, including education
(we have a long waiting list), community engagement, personal development, and community projects.

Erika also suggests installing traffic tracker at DIW entrances to gather data on public engagement. Gary
feels we need to inform Jim Strawn and the Fair organization before embarking on it. It was decided not
to implement the counter system this year since we need to assure that the SD Fair and Jim are OK with
it. We will test it out for eye-openers and HGS to evaluate its effectiveness.

Habitat for Humanity is using the SDFWA Shop to build 15 playhouses because they are currently in
between shops. The collaboration will result in acknowledgement of both organizations.

Dallas acknowledges those volunteers who stepped up to clean-up during the recent water break
incident on the day of the DIW award ceremony.

Waiver Liability Forms: Copies will be available in the Member Shop. All SDFWA members will need to
sign the Waiver Liability form by October 1st. Members who have not complete by this date will not be
able to schedule time slots. Bronze Members will need to sign Waiver Liability Forms before getting their
green badge with the expiration month and year on it. SIG Leaders will need to have SIG attendees sign
these also. Location of the signed forms should be returned to be determined.
